How to Manage Notification Settings for Team Members and Clients?

How to Open Team Notifications?
Here is how you can open Team Notifications:
- Click the profile icon in the top-right corner and select Notifications Settings.
- Click Team Notifications in the menu on the left.
- Select SocialPilot.
You will see a summary card for each role: Admins, Team Members, and Clients. Team Members covers both Managers and Content Schedulers. Each card lists the notifications that role currently receives, and any notification that is switched off shows as Disabled.
Which Notifications Can You Set?
Each role card includes the following notifications:
- Posting Errors: Alerts when a post fails to publish. Choose Immediately or Daily Summary, and receive it through Mobile Notifications, Email Notifications, or Both.
- Instagram & TikTok Updates: Alerts about new posts and Instagram and TikTok reminders for scheduling.
- Social Account Disconnect: Alerts when a connected social account needs attention. Choose the frequency and delivery method, and set Account Reconnect Reminders to Email Notifications or None.
- Pending Review: Alerts when a post needs review. Choose the frequency and delivery method, and select when to notify: when a post is seeking approval, is sent back for correction, or has mentions. You can also turn on the Pending Approval Reminder, a daily email covering posts scheduled for the next four days and queued posts.
- Social Inbox: Alerts for new messages, comments, and mentions. Choose Hourly or Daily Summary, and receive them in the Web App, Mobile App, Both, or None.
How to Edit Notification Settings for a Role?
Here is how you can edit the notifications for a role:
- Click Edit on the card for the role you want to update.
- Use the Enable toggle to switch each notification on or off.
- Set the frequency, delivery method, and other options for each notification.
- Click Update to save your changes, or Discard to cancel them.
Note: You can edit one card at a time, and each card saves separately. Updating Team Members does not change the settings for Admins or Clients. If you try to leave the page with unsaved changes, you will be asked to save or discard them first.
How to Apply Changes to Current and New Members?
When you click Update, the Apply changes? window asks how to apply your changes:
- Apply for all: Updates the settings for everyone currently in that role. New members also get these settings.
- Apply for upcoming users: Keeps the current settings for existing members and applies the new settings only to people who join later.
Members can still change any setting that is not enforced from their own Notifications Settings.
How to Enforce a Notification Setting?
Enforcing a notification locks it, so members in that role cannot change it.
Here is how you can enforce a notification setting:
- Click Edit on the role's card.
- Turn on the Enforce toggle next to the notification.
- Click Update.
Enforced settings apply to all current and future members in that role, whichever option you choose in the Apply changes? window. The summary card shows an enforced icon next to each locked notification.
What Do Members See When a Setting Is Enforced?
In their own Notifications Settings, members see the enforced notification greyed out with an enforced icon next to its name. Hovering over the icon shows the name of the person who enforced the setting. Members can still change any notification that is not enforced.
Who Can Manage Team Notifications?
Only the Account Owner and Admins can manage Team Notifications.
Note:
- Admins cannot change the notification settings of the Account Owner.
- If more than one Owner or Admin updates the same role, the most recent update applies.
- If a member belongs to more than one team, the most recent update from any of those teams applies.
- Existing notification settings stay as they are until an Owner or Admin updates them in Team Notifications.
- Team Notifications is available only when team collaboration is turned on for your account. The Clients card appears only when clients are enabled.
